**This position acts as an administrative assistant but is internally referred to as an outsourced product coordinator. 

Whirley-DrinkWorks! is hiring a Outsourced Product Coordinator in our New Product Development (NPD) department!



JOB SUMMARY
The Outsourced Product Coordinator is responsible for the execution of new product development assignments along with other administrative tasks. The NPD Administrator performs duties that will ensure that new programs are delivered on a timely basis, meet quality standards and exceed customer expectations, while acting in the best interest of Whirley-DrinkWorks!. Core responsibilities include department and project related administrative tasks, department management support, and overall system and document data integrity.

Responsibilities and Duties:

1. General Administration:
Responsible for creating accurate and timely documentation, coordinating and maintaining data to successfully support the DrinkWorks! area. Duties will also include complete general communication with outside sales reps in terms of pricing and products.

        Representative duties include:
  • Confirms meeting locations, objectives and agendas
  • Serves as the lead in the set-up of meetings
  • Records and publishes meeting minutes
  • Completes pricing quotes and communicates to outside sales reps
  • Uses email to clarify questions from China factories
  • Effective processes NPR's
  • Acts as the administrative assistant to DrinkWorks! Manager
  • Gathering various information including
    • SOW/BOMSOW
      • Pricing, artwork, testing, item numbers, tarrifs etc.
      • Creates, coordinates and validates timelines
      • Ensures Complete Data Integrity
      • Ensure timely completion
    • Open Market Sourcing
      • Requests information regarding open market items
      • Processess approved open market requests
      • Coordinates Art/Pricing for open market products
    • Onboarding NPD Requests
      • Reviews requests with management
      • Records NPD Project Managers
      • Assigns NPD Numbers
      • Assigns Art Cards
    • Updates information in Relavis, AS400, or other BRM/CRM/Support System
    • Produces accurate, timely and effective communication needed to complete support processes as assigned.

2. Project Coordinator/MS Project: Responsible for creating all new outsourced projects in MS Project, with the exception of Disney projects. Duties will also include maintaining projects assigned in MS Project and assisting other project managers with questions concerning their projects in MS Projects.

        Representative duties include:
  • Enters new projects in MS Projects
  • Updates and maintains MS Projects timelines
  • Serves as "subject matter expert" in MS Projects.

Qualifications

Bachelor's Degree and/or minimum of two years' progressive experience in sales training, marketing, business management, system and project management. Demonstrated ability to deal effectively with vendors, customers and TeamMates. Ability to communicate complex or abstract programs and ideas. Ability to bring multiple tasks to successful conclusion. Excellent verbal and written communication skills required. Must possess excellent interpersonal, problem solving and project management skills. Must demonstrate an orientation to details with thoroughness, precision and strong follow-through skills. Must be a self-starter.
