Description

JOB SUMMARY

The Front Desk Administrator performs various clerical, secretarial and administrative work such as answering telephones, greeting and assisting guests, filing and record-keeping. This position also serves as the primary administrative support for the Human Resources department and shares responsibility for executing department and company objectives.

CORE RESPONSIBILITIES

  1. Receptionist and Front Desk Duties- responsible for maintaining front office phones and handling all incoming telephone calls, visitors, and applicants. This position has the responsibility to provide prompt, courteous service to both internal and external customers. Duties may include:
  • Activating and deactivating phones at the beginning and end of each day
  • Notifying the correct TeamMate of any phone system malfunctions
  • Answering all incoming telephone calls in a timely, courteous manner, directing calls and messages to TeamMates, and focusing on relaying concise information to the correct individuals
  • Greeting and assisting all visitors by determining the nature of visits, maintaining an accurate sign-in sheet, issuing badges and notifying the appropriate TeamMates of visitors
  • Attending to the mail shuttle and maintaining package log for all deliveries
  1. Administrative Support for Human Resources- responsible for performing administrative duties to support the achievement of Human Resources objectives. Duties may include:
  • Performing general administrative tasks to support the HR department such as filing, record-keeping, application tracking, etc.
  • Updating and maintaining the company communication boards on a weekly basis with pertinent information in a clear, easy to read format
  • Assisting TeamMates with various benefit programs such as discount pool passes, fair tickets, etc.
  • Maintaining and distributing an accurate company telephone routing
  • Designing and circulating monthly birthday calendar
  • Managing the process of developing and distributing timely, accurate personalized birthday and milestone letters to TeamMates from the President
  1. Related Duties: responsible for performing miscellaneous human resources and/or sales related duties as assigned to support the mission of the company and to further personal development.

QUALIFICATIONS

High school graduate or equivalent. Demonstrated knowledge of computers and computer software programs, including Word and Excel.  Working knowledge of office equipment. Demonstrated written and verbal communication skills. Excellent interpersonal skills and a friendly, professional demeanor.

Prolonged sitting. CRT exposure.
