JOB SUMMARY

The Art Quality Administrator is responsible for reviewing and approving digital art proofs and print files to ensure all designs meet customer specifications, art guidelines, printing specifications, brand standards and production requirements. This position is the pivotal connection between customers and the art production process in the quality review of art jobs before they are released to customers for review and often approved for production.

This role requires meticulous attention to detail, excellent grammar and spelling proficiency, strong written and verbal communication skills and the ability to identify visual or technical inconsistencies in artwork prior to production.

DUTIES AND RESPONSIBILITIES

Art Quality:

  • Reviews customer proofs for accuracy, including artwork layout, colors, fonts, placement and sizing.
  • Verifies that all text is free of grammatical, spelling and punctuation errors.
  • Ensures artwork meets both print specifications and customer branding guidelines.
  • Follows existing art policies and guidelines relating to individual products and printing methods to ensure compliance with quality standards.
  • Confirms data in Aras matches art proofs.
  • Meets printing requirements by maintaining contact with Printing Department regarding printing limitations, plate requirements, ink related concerns and other matters.
  • Communicates clearly to resolve discrepancies or clarify instructions.
  • Proactively addresses art related issues by communicating with artists, helping them understand issues and offering suggestions.
  • Collaborates with the art and sales team to ensure timely and accurate art release.
  • Maintains weekly, monthly, and yearly Quality and Error Reports.

Production File Release:

  • Send final, approved artwork for domestically and internationally sourced printed products (cups, buckets, and other expanded product line items).
  • Verify that final production artwork matches the approved art proof in layout, content, scale, color intent, and orientation.
  • Confirm all required production files are included, accurate, and vendor-ready (final art files, linked assets, fonts, die lines, templates, and specifications).
  • Ensure artwork is built to the correct full-size dimensions and production requirements for each specific vendor or factory.
  • Review print proofs or production samples returned by vendors to confirm artwork has not been altered, degraded, or incorrectly reproduced.
  • Flag discrepancies, errors, or changes and coordinate corrections with internal teams and vendors prior to production approval.
  • Maintain clear communication and documentation throughout the production file release and proofing process.

Related Duties – Responsible for performing miscellaneous related duties as assigned to support the mission of the Creative Services Department and to further personal development.

EDUCATION AND EXPERIENCE:

  • High school diploma or equivalent
  • Experience in proofing, print production, prepress or graphics preferred, but not required.
