JOB TITLE: Shipping Supervisor
DEPARTMENT: Supply Chain
REPORTS TO: Supply Chain Director
SUPERVISES: Material Handlers
FLSA STATUS: Non-Exempt

JOB SUMMARY

Supervises, assigns, and directs the activities of the shipping warehouse staff. Maintains communications with other departments to facilitate the timely and accurate shipment of finished goods. Ensures inventory accuracy through checking outbound shipment, reconciling inventory locations and support the training staff. Responsible for safety and SQF results for the warehouse.

DUTIES / RESPONSIBILITIES:

Supervision - Responsible for staffing, managing and supervising the performance of direct reports in the warehouse to ensure that team goals and objectives are achieved by ensuring TeamMate job core responsibilities and performance expectations are well defined, TeamMates have a clear understanding of department goals and objectives, TeamMates have the necessary skills, tools and materials to do their job, and the general working climate facilitates the successful performance of their job responsibilities.

  • Interviews candidates and staffing position vacancies in a timely basis with qualified people capable of meeting the requirements of the position.
  • Develops and manages work schedules.
  • Schedules and prioritizes work.
  • Assigns and monitors work ensuring it is completed in an efficient, cost-effective fashion.
  • Manages and evaluates performance.
  • Identifies and addresses training and development needs.
  • Coaches, counsels, and resolves complaints.
  • Ensures compliance with company policies and procedures.
  • Supports the development of the training programs required for the Material Handlers and performs training, ensuring that the Material Handlers sign off on each topic.

Logistics Coordination - Oversees the timely and accurate routing and loading of shipments to customers.

  • Studies shipping notices, bills of lading, orders, and other records to determine shipping priorities, and shipping methods required to meet shipping schedules.
  • Reviews every staged load against the bill of lading and signs off, ensuring accuracy. Inspect boxes and stretch wrap to ensure good condition. Inspects load against any applicable shipping comments to ensure that all customer requirements have been met.
  • Oversee the outgoing shipping activities to ensure accuracy, completeness, and condition of shipments.
  • Inspect loading operations to ensure compliance with shipping specifications.
  • Drives a high level of accountability for processing on-time and accurate shipments.
  • Coordinates daily with Sales and Assembly Departments on orders needing to be shipped.
  • Perform duties of Material Handler as needed.

Inventory Control - Responsible for overseeing and processing inventory moves, adjustments and transactions. Drives a high level of accuracy.

  • Operates radio frequency (RF) scans to maintain accurate inventory levels and storage locations.
  • Reconciles FG staging locations daily.
  • Maintains finished goods inventory by ensuring that cycle counts are performed in conjunction with the prescribed schedule. Reviews all cycle count errors, investigates, and makes appropriate adjustments.
  • Monitors TeamMate scans through working with TeamMates and through transaction history review. Documents errors and addresses with TeamMates to drive improvement. Holds all TeamMates accountable for a high level of accuracy.
  • Serves as the point person for any finished goods inventory questions. Investigates, responds, and corrects records as needed.

Warehouse Organization – Responsible for organizing the warehouse and staging areas in the most efficient manner.

  • Works with the Supply Chain Manager and Material Handling Supervisor to develop and implement the best practice procedures for managing warehouse space to its maximum efficiency.
  • Ensure that shipments are staged in the appropriate areas.
  • Recommend changes to the warehouse layout, as needed.
  • Coordinates movement of finished goods to other facilities with the Material Handling Department, as needed.

Training – Supports equipment and job training plans and supports trainer.

  • Standardizes and documents optimal procedures and work instructions for the department.
  • Develops comprehensive time phased training plans for Material Handlers.
  • Trains Material Handlers as needed or oversee the training process.
    • Participates in the development and enforcement of the forklift training plan.

Safety – Promotes a safe work environment and ensures that all regulations are followed.

  • Inspects material handling equipment for defects and notifies maintenance personnel or contacts outside service facility for repairs.
  • Operates powered industrial trucks, sit down and walk ride to move materials to and from locations. Completes a forklift checklist prior to operation. Refers all problems to vehicle maintenance for repair.
  • Safeguards operations and contents by establishing and monitoring security procedures and protocols. Enforces outside driver safety policies.
  • Ensures that all operations are performed with the utmost regard for the safety and health of all personnel involved.
  • Ensures that all safety programs developed by the Safety and Environmental Coordinator and Safety Steering Committee are implemented, enforced and adhered to by all TeamMates.
  • Ensures that all equipment utilized in the area managed is free of recognized hazards and that all TeamMates have been trained in the safe and proper use of the equipment.
  • Ensure that Safety Talks are conducted when required and attendance is documented.
  • Ensures that all incidents in the area managed are investigated thoroughly, hazards and unsafe conditions are eliminated, and unsafe acts are discussed promptly with appropriate discipline issued.
  • Reviews monthly incident reports and safety inspections report and discuss areas of concern with appropriate department and shift personnel.
  • Reviews traffic patterns and develops optimal traffic flow.

Sanitation and SQF – Enforces SQF guidelines and encourage a clean work environment.

  • Makes housekeeping a day-to-day practice by ensuring that the guidelines for “Safe Quality Foods” are followed as a matter of routine. Internal inspections should result in a few, if any, corrective actions. Corrective actions must be addressed in a timely fashion and not repeat in subsequent Whirley inspections.
  • Ensure that internal SQF audits of the warehouse are conducted weekly and that all issues are addressed immediately.

Other:

  • Timely completion and receipt of all documents by Accounting for attendance and truck mileage.
  • Capable of performing all job duties within the department. Ensures there is no disruption to the production departments.
  • Communicate with maintenance departments to ensure all equipment and building needs are fulfilled.
  • Reviews departmental procedures, work instructions, and forms every 2 years to verify they are accurate and up to date. Makes necessary changes and communicates to the department with sign-off log showing date of training.
  • Provides manpower through creative scheduling of Teammates.
  • Must be able to work overtime to fulfill the company’s needs.
  • Performs other related duties as required.

EDUCATION AND EXPERIENCE:

· Associates degree in business management or three to five years of warehouse or inventory management experience preferred.

· Supervisory experience with exceptional leadership skills is strongly preferred.

· Must possess a valid driver’s license.

· One to two years’ forklift experience is preferred.

· Ability to read, write comprehensive documentation and operate office equipment required.

· Must possess strong mathematical skills.

· Working knowledge and limited experience with IQMS, Word and Excel preferred.

· Demonstrate high levels of accuracy and attention to detail with strong problem solving and interpersonal skills.

· Good manual dexterity and color discrimination are required.

PHYSICAL REQUIREMENTS:

  • Prolonged periods of standing or sitting.
  • Lifting or moving up to 45lbs.

SPECIAL REQUIREMENT:

Driving records for TeamMates holding safety sensitive positions will be subject to periodic review from a third party. Failure to maintain an acceptable driving record could result in job loss or reassignment.

Drivers with unacceptable driving records would include those with one or more of the following violations:

  • Conviction for an alcohol and/or drug related driving offense
  • Refusal to submit to a Blood Alcohol Content (BAC) test.
  • Conviction for reckless driving
  • Any combination of three or more moving violations, "At Fault Accidents", or "Preventable Accidents" within the most recent three years
  • Suspension, revocation, or administrative restriction within the last three years
  • Leaving the scene of an accident as defined by state laws.
  • At fault in a fatal accident
  • Felony committed involving a vehicle.
  • Three or more "Company Vehicle" physical damage claims in any twelve-month period
