JOB SUMMARY

Responsible for the execution of new product development assignments along with other administrative tasks. Performs duties that will ensure that new products and programs are delivered on a timely basis, meet quality standards, and exceed customer expectations, while acting in the best interest of Whirley-DrinkWorks!. Core responsibilities include department and project related administrative tasks, department management support, and overall system and document data integrity. These responsibilities require strong communication and organizational skills, as well as consistent professionalism and sound judgment.  Our ideal candidate would be committed to continuous learning and success and have the desire, skills, and motivation to grow within the department and company.

CORE RESPONSIBILITIES

Responsible for providing support for DrinkWorks! and EasyGo! teams by coordinating and maintaining data.  Includes general administrative duties.

  • Acts as the Administrative Assistant to Director and President of DrinkWorks! & EasyGo!
  • Coordinates and documents DrinkWorks! and EasyGo! meetings
    • Quarterly Product Review Support
    • Bi-Weekly Meeting Support
    • Confirms meeting locations, objectives, and agendas.
    • Serves as the lead in the setup of meetings.
    • Records and publishes meeting minutes.
  • Produces accurate, timely and effective communication needed to complete support processes as assigned.

OUTSOURCED PRODUCT SUPPORT

Responsible for performing support duties and administrative tasks that will ensure the timely deliveries of new quality products.  

NEW PRODUCT DEVELOPMENT ONBOARDING REQUEST

  • Reviewing requests with management
  • Recording NPD Project Managers
  • Assigning NPD Numbers
  • Assigning Art Cards

 OPEN MARKET SOURCING

    • Processes approved open-market product requests.
    • Assist in requests for information regarding open-market products directly from factories or through Speed 2 Market, mainly through email correspondence.
    • Coordinates Art and Pricing for open market products
    • Coordinates pricing quotes and communicates with Independent Sale Representatives (ISR)

PRODUCT MARGIN SUPPORT AND TRACKING

  • Assist in Monitoring and tracking margins on all active product sales monthly.
  • Assist in Maintaining and identifying products with low margin.
  • Assist in sharing monthly margin reporting with Program Managers
  • Assist in following up with Program Managers on corrective action plans for low margin product sales.

INTERNATIONAL SALES SUPPORT

  • Item Number Set-Up
  • Statement of Work
  • Import Authorization Letters
    • Order Detail Form - Oversight with Business Development Managers (BDM) and Independent Sale Representatives (ISR)
  • Order Entry – Oversight with Inside Sales
  • Updating and Maintaining Open Order Report for Europe
  • Inventory Management of Heat Transfer Labels, RFID Tags and Straws

INVENTORY TRACKING

  • Responsible for identifying Custom Imported DrinkWorks! and EasyGo! inventory concerns and resolving any issues to eliminate warehouse storage costs.
  • Identifies concerns with slow moving or stagnating inventory and works with Business Development Managers (BDM), Independent Sale Representatives (ISR) and management to resolve the situation.
  • When applicable, maintain optimal inventory levels for custom stock products that will ensure customer requirements are satisfied without stocking more than a 9-month sales level.
  • Reviews and analyzes the Aged Inventory Report for potential decorated product not shipped with an order and communicates any situations with the Shipping Department to determine if inventory exists and can be shipped, held for a future ship date, sent to the Sample Room for samples or sent to obsolescence.

RESIN AND CURRENCY COST TRACKING

  • Assist in Monitoring and tracking market indexes related to resin costs globally.
  • Assist in Monitoring and tracking market indexes related to stainless steel costs globally.
  • Assist in Monitoring and tracking currency exchanges by country.
  • Assist in Maintaining historical records on products involved with customer agreements.

OCEAN CONTAINER COST TRACKING

  • Assist in Maintaining monthly ocean rates quotes from freight forwarder for future shipments.
  • Assist in Monitoring and tracking ocean rate invoice costs monthly.

SAMPLE, PROTOTYPE, AND NEW PRODUCT CHECK_IN

  • Checks-in new individual samples and new launch samples cases received by courier daily.
  • Photographs, labels, and documents samples received from Speed 2 Market, factory, customer, or Business Development Managers (BDM) and Independent Sale Representatives (ISR).
  • Enters information, tracking numbers, NPD numbers, description, etc. into NPD Samples received spreadsheet.
  • Measures and weighs full cartons of new DrinkWorks! products.
  • Provides carton weight and dimensions, and calculated Ti x Hi pallet and truckload calculations.
  • Email the information to the appropriate distribution list.

MISCELLANEOUS RELATED DUTIES

  • Assist Creative Art Director and Program Managers with Match Imprints distribution to Asia and Europe manufacturing partners.
  • Coordinate IQMS Sample Orders for distribution of shipments to Business Development Managers (BDM) and Independent Sale Representatives (ISR), Asia and Europe manufacturing partners.
  • Manage Office Supplies
  • Support the mission of DrinkWorks! and EasyGo! department and to further personal development.

EDUCATION AND EXPERIENCE:

  • High School diploma or equivalent
  • 1 – 2 years administrative, sales or customer service experience preferred.
