JOB SUMMARY

Coordinates the on-time delivery of Whirley and DrinkWorks customer orders.

DUTIES / RESPONSIBILITIES:

Customer Service – Responsible for pro-actively tracking and communicating the status of pending deliveries. Problem solves late deliveries and other deliver issues.

  • Checks the carrier websites and/or reviews daily delivery reports from carriers to review the status of pending deliveries. When orders are not tracking to meet the required delivery dates, works with carriers, supervisor, and other parties to expedite the delivery process and meet the customer’s requirements.
  • Immediately notifies Inside and Outside Reps of any major delivery concerns for high profile or event driven shipments.
  • When shipping International orders, complete custom papers and sends to appropriate contacts.
  • Actively reviews IQMS several times daily for completed orders to ship on designated ship dates.

Delivery Coordination - Responsible for working with Inside Sales Reps, the Shipping Supervisor, customers, carriers, and others to coordinate the timely pickup and delivery of customer orders. Handles shipments for both Whirley and DrinkWorks from all facilities including Whirley.

  • Reviews daily shipping reports and initiates shipments to customers based on order ship dates, taking every step possible to ensure that event and committed orders arrive on time.
  • Makes pickup and delivery arrangements with freight carriers based on customer preference and cost to ship.
  • Makes pickup and delivery arrangements with customers, for customer-routed shipments. Completes customer-supplied forms as mandated.
  • Selects the carriers per the Routing Guide provided.
  • Demonstrates a working knowledge of domestic and international terms of sale ensuring the best terms are used to protect Whirley-DrinkWorks! interests when shipping finished goods products.
  • Work closely with the Master Scheduler/Expeditor and Sales Manager to determine that orders hip on the dates entered by Sales.
  • Accurately prepares packing slips, export documentation and other shipping paperwork.
  • Provides freight costs and shipping confirmations to the Invoicing Clerk.
  • Routinely reviews custom and generic finished goods inventory balances and works together with Inside Sales to get the product shipped from our facilities as quickly as possible.

Cost Control - Responsible for using the best routing methods to achieve on time delivery for the lowest possible cost.

  • Follows the established shipment routing guides, which pre-determine the best carrier choices for each lane.
  • Analyzes daily shipping report to determine if orders can be shipped together to reduce cost.
  • Provides freight quotes for Inside and Outside Sales Reps and maintains freight quote information in Relavis for Inside Sales Reps use.
  • Understands and follows all rules concerning carriers and our contracts with each, including rates and discounts.
  • Investigates any freight invoice discrepancies and challenges rebills and accessorial fees as appropriate.
  • Resolves carrier issues concerning shortages, lost freight and delivery times.

System Integrity - Responsible for ensuring that the information in IQMS is used to facilitate the logistics processes is current and accurate.

  • Reports any discrepancies in IQMS involving the weight and dimension information.
  • Performs a variety of routine system integrity checks. Investigates and corrects any issues.
  • Works with Inside Reps and other parties to ensure that the ship dates reflected in the system are accurate, taking care to investigate and correct any late shipments. If stops are required, ensure that they are in place. If delays are expected, ensure that the ship dates get updated accordingly.

Other

  • Creates various reports, such as Medline Tracker & Carrier contacts.
  • Provides regular input to Supervisor regarding carrier performance.
  • Maintains professional and technical knowledge.
  • Performs other related tasks upon request.

QUALIFICATIONS

  • High school diploma or equivalent
  • Associates degree in business field preferred
  • Previous logistics experience
  • Proficient with Word and Excel.
  • Communicate professionally and effectively within and outside the company.
  • Demonstrate orientation to details with thoroughness and strong follow through skills.
  • Possess clerical, math and computer-operation skills.
  • Customer service oriented and committed to achieving high levels of customer satisfaction.
